What are your prices?
Every customer is different and their bookkeeping reflects that. In order to provide a pricing estimate, we will need to have access to your financial records so that we can evaluate what is needed to help you in the ways you require. Each individual service can be added or removed and can affect the pricing estimate. We typically provide services at a flat monthly rate or a fixed cleanup cost, or a combination of each.
How long will it take to
clean up my books?
The more complicated the books the longer it can take, but it can typically take 4 to 6 weeks for every 12 months of cleanup. Delays in receiving access to all necessary financial records can lead to increases in the amount of time needed to finish the cleanup. Please let us know if you have a tax deadline so that we can do our best to have everything done in time.
Do you need access to
my bank accounts?
We will connect your bank and credit card accounts so that we can match transactions to deposits and expenses, but we only need VIEW-ONLY access. We will have no access to any of your money unless specifically authorized for Accounts Payable/Receivable, Payroll, or Tax Remittance. Your records are safe with QuickBooks as their security protection is setup to cover any possible breaches. If you are uncomfortable giving log-in accountant access, we can work from downloaded bank spreadsheets, or even from paper records if necessary.
What payment methods do you accept and when is it expected?
We accept payment through direct ACH bank transaction or with most credit cards. Credit card payments include a 3% processing fee. Payment for monthly agreements will occur immediately after the Engagement Letter is signed by both parties, then on the 1st of the month for every subsequent month. Contracts that start in the middle of the month will have the 2nd month prorated to reflect the shortened first month. Cleanup contracts require a deposit of 50% after signing the contract, with the remaining amount due when the cleanup is done and before the final reports are transmitted. A combined cleanup and monthly contract will require a 50% cleanup plus the first month payment. Payment must be received before any work will begin. Fees will not be reduced due to delays by the customer in providing necessary records or receipts.
How often will I receive reports
and which reports will I receive?
Reports can be provided as often as you'd like, and we can provide standard reports or create custom reports that show you exactly what you need to know. We will discuss expectations and needs during the consultation and include everything in the Engagement Letter so that both sides know which responsibilities will be handled by each.
What happens if I decide I need
more help than was initially
agreed upon?
As your business grows, you may find that your bookkeeping needs are more involved than what is listed in the initial agreement. Or you no longer have time to do tasks you kept for yourself and need us to take them over. If that occurs, just let us know and we can provide an updated price estimate for the increased workload and a new Engagement Letter if you agree.
If I sign an agreement, will that
price be locked in forever?
Sometimes it is not possible to evaluate the entire scope of the bookkeeping needs, or some documents are not available during the initial reviews. In those cases, it may be necessary to revise the pricing estimate to more accurately account for the time needed. All contracts are automatically reviewed every 3 months. If any changes are necessary, you will receive a 90-day notice of proposed changes, as well as an opportunity to schedule a meeting to discuss why any changes are needed
What if I decide I no longer
want to use you as a bookkeeper?
If your company no longer needs a bookkeeper, we require a 30-day written notice to cancel services. If a monthly payment is scheduled during those 30 days, the payment will be charged and services will be provided until the end of that month even if it extends past the 30 days
I've never used QuickBooks.
Can you help me?
We are happy to answer questions or provide guidance on how to enter information. More involved training can be provided at an hourly rate if it requires in-person meetings. We can also point you to online resources for almost any question you my have.
I don't want to use QuickBooks.
Do you work with other
bookkeeping software?
While we are certified with QuickBooks Online, we may be able to help you if you currently use an alternative method, even paper and pencil. We are part of a large community of bookkeepers who have experience in many different bookkeeping software programs and can lean on them for help if we are currently less than familiar with your current method.
Since you don't prepare tax returns,
can you recommend a CPA to help?
We do have CPA's in our network and can definitely help you select one that fits your needs, whether that be experience in your industry or local to a specific area.
